Privacy Policy

This policy covers two groups of people: Agencies who sign up and use LeadFlow OS; and the clients and leads of those agencies, whose details flow into the platform so the agency can track and report on them. If you are a lead or a client and your details are in LeadFlow OS, the agency you dealt with is responsible for that data. We handle it on their behalf. Contact the agency first, and we will help them with any request.

Agency account details: name, email, agency name, logo, timezone, currency. Client and lead details: the information an agency brings in or syncs, which can include a lead's name, email, phone, suburb, the service they enquired about, and ad campaign details. Advertising data: spend, impressions, clicks, leads and cost per lead pulled from connected ad platforms. Connection credentials: the access tokens you provide to connect Meta or Google, stored to run your syncs. Technical data: basic login and usage information needed to run and secure the service.

Directly from you when you sign up and use the product. From Meta and Google, through their official connections, only after you connect your account and give permission. From files you upload, such as a lead export.

We use your information only to provide and improve the service: to show dashboards, sync ad data, generate reports, and support you. We never use your data, your clients, or your leads for our own advertising agency or for any purpose other than running LeadFlow OS for you.

When you connect Meta or Google, we access only the advertising and lead data needed to run your dashboards, and only with your permission. We follow Meta's and Google's platform terms. We do not sell this data, and we delete it when you disconnect, delete your account, or ask us to.

We do not sell your data and we do not share it for anyone else's marketing. Each agency's data is kept separate, and one agency cannot see another agency's data. We share information only with: service providers who help us run the platform (such as our hosting and infrastructure provider), under confidentiality obligations; Meta and Google, to the extent needed to sync the data you asked us to sync; and authorities, if we are legally required to.

To help you when something breaks, our team can see the health of your account (for example, whether a sync is working). We do not browse your clients' details without your permission. When we need to view your client data to help, we ask first and every access is logged so you can see when and why.

Your data is sent over secure HTTPS connections, access is restricted, and agencies' data is kept separate from one another. No system is perfectly secure, but we work to protect your information and to keep improving how we do it.

You can export your leads to a file at any time. If you cancel, you have 30 days to export everything before your account is closed and the data removed. You can ask us to delete your data sooner by emailing hello@leadflowos.app.

Under Australian privacy law you can ask to see the personal information we hold about you, correct it, or have it deleted. Email us and we will help. If you are a lead or client of an agency, please ask that agency first, and we will support them.

We use only the cookies needed to keep you logged in and to run the service. We do not use them to track you across other websites.

Your data may be processed by our service providers in Australia or overseas. Where it is handled overseas, we take reasonable steps to make sure it is protected to a similar standard.

LeadFlow OS is a business tool and is not intended for anyone under 18.

We may update this policy as the product grows. If we make a significant change, we will let you know. The "last updated" date at the top shows the current version.
